How Fuel Caddy Co. collects, uses, and protects personal information under Canadian and Alberta privacy law.

Who we are and what this policy covers

Fuel Caddy Co. ("Fuel Caddy", "we", "us") is a Calgary-based business-to-business fuel delivery company serving Calgary and the surrounding Alberta industrial corridor.

This policy explains how we handle personal information in the course of our commercial activities, including through fuelcaddy.ca, our quote and dispatch forms, phone and email correspondence, and our delivery operations. It is written to align with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta's Personal Information Protection Act (PIPA), and Canada's Anti-Spam Legislation (CASL).

Information we collect

We collect only the information we need to quote, schedule, deliver, and invoice fuel. Most of it comes directly from you when you request a quote or place an order.

  • Business contact details — your name, job title, company name, phone number, and email address.
  • Delivery and site information — site addresses, gate or access instructions, tank and equipment details, on-site contacts, and fuel type and volume requested.
  • Order and account records — quotes, delivery tickets, invoices, payment records, and correspondence with our dispatch team.
  • Website information — basic technical and usage data such as pages viewed, referring page, approximate region, and device or browser type, collected through standard web logs and analytics.
  • Form submissions — anything you choose to enter in our online dispatch or quote request form, including notes you add.

Why we collect and use it

We use personal information for the purposes a reasonable person would consider appropriate in the circumstances, namely:

  • Preparing quotes and responding to your enquiries.
  • Scheduling, dispatching, and completing fuel deliveries safely at your site.
  • Invoicing, processing payment, and maintaining accounting and tax records.
  • Communicating with you about active orders, service updates, product availability, and pricing.
  • Meeting safety, transportation, environmental, and record-keeping obligations that apply to fuel handling in Alberta and Canada.
  • Understanding how our website is used so we can improve it.

Consent and how to withdraw it

We collect, use, and disclose personal information with your knowledge and consent, except where the law allows or requires otherwise. By submitting a quote request or placing an order, you consent to our use of the information you provide for the purposes described above.

You may withdraw your consent at any time, subject to legal and contractual restrictions and reasonable notice. If you withdraw consent for information we need in order to deliver fuel or maintain an account, we may not be able to continue providing service. To withdraw consent, contact us using the details in section 11.

Commercial electronic messages (CASL)

When we send commercial email or text messages, we identify ourselves, provide valid contact information, and include a way to unsubscribe. You can opt out of marketing messages at any time by using the unsubscribe link or by replying to ask us to stop.

Withdrawing consent for marketing messages does not stop transactional messages that relate to an order you have placed, such as delivery confirmations and invoices.

When we disclose information

We do not sell personal information. We disclose it only as needed to operate, and only to parties that require it:

  • Service providers acting on our behalf — for example our website host, form and customer relationship management provider, email provider, payment processor, and accounting provider. They are permitted to use the information only to provide services to us.
  • Carriers, drivers, and fuel suppliers involved in fulfilling your specific delivery.
  • Professional advisors such as our accountants, insurers, and lawyers, where relevant.
  • Authorities or other parties where disclosure is required or permitted by law, by court order, to collect a debt, to investigate a breach of an agreement, or to address an imminent threat to safety.
  • A purchaser or successor, if our business or part of it is sold or reorganized, subject to appropriate confidentiality terms.

Storage outside Canada

Some of our service providers store or process information on servers located outside Canada, including in the United States. While information is in another jurisdiction, it may be accessible to the courts, law enforcement, and national security authorities of that jurisdiction under its laws.

We take reasonable steps to ensure any provider we use offers a comparable level of protection to what is required here. If you would like more information about where your information is handled or the policies we apply to transfers, contact our privacy officer.

Safeguards

We protect personal information with safeguards appropriate to its sensitivity, including access controls and password protection on our systems, encryption in transit on our website and forms, limiting access to staff and contractors who need it to do their jobs, and confidentiality expectations for those individuals.

No method of transmission or storage is completely secure. Please avoid sending sensitive information to us by unsecured email.

Retention

We keep personal information only as long as needed for the purposes it was collected for, and to satisfy legal, tax, insurance, and business record-keeping requirements. Financial and delivery records are typically retained for the periods required under Canadian tax and commercial law. When information is no longer needed, we destroy, erase, or de-identify it.

Your right to access and correct your information

Under PIPEDA and Alberta's PIPA you may ask us for access to the personal information we hold about you, how it has been used, and to whom it has been disclosed. You may also ask us to correct information that is inaccurate or incomplete.

We will respond within the time limits set by the applicable legislation. We may need to verify your identity before responding, and we may charge a reasonable fee for access requests where the law allows, telling you the estimated cost in advance. In limited situations the law allows or requires us to refuse access — for example where doing so would reveal another person's personal information or privileged material. If we refuse, we will explain why.

We may update this policy as our operations or the law change. The revised version takes effect when posted on this page, and the "last updated" date above will change. Please review it from time to time.
